This page is meant for those who have already graduated (completed or withdrew after fulfilling course requirements) from an on-campus academic program.

Fees for Issuing Certificates

500 yen for one copy of a Japanese or English certificate
*If you use the online system to print the certificate at a convenience store there will be a 60 yen printing fee per page.
If you use the online system and choose to have certificates mailed to your residence, there will be an additional 450 yen administrative and shipping charge.



How to Apply for Certificates

1. Online requests (printing at a convenience store/online delivery of electronic certificates (PDFs))

It is possible to issue an official certificate using a convenience store near you or send electronic certificate (PDF data of certificate) to an employer, overseas educational institution, etc. Please check here for details on how to do this.

    【Important notes】
  • If you are using this service for the first time, it will take approximately one business day until you can submit an official request to issue your desired certificate. This time is used to confirm your registration details and verify your personal identification materials.
  • The certificates issued using this service are printed with digitally watermarked POPITA technology to prevent forgery. This means that you will not be able to make copies of the certificates. If you have received a certificate issued at a convenience store or through the online delivery of electronic certificates(PDF) that uses POPITA technology, you can verify whether the certificate is authentic. For more details, please see p.6-7 of this manual.
  • Certificates issued using digital watermarks from POPITA are not accepted by the Ministry of Foreign Affairs (ministry and diplomatic missions overseas). If you need to submit certificates to the Ministry of Foreign Affairs, please use one of Keio's other methods.

1. Online requests (printing at a convenience store/online delivery of electronic certificates(PDFs))

System maintenance and other service interruptions

Due to system maintenance, Keio's certificate issuing service will be unavailable during the following period.
We apologize for the inconvenience.

■Effect on service
・Users will not be able to log in to their accounts or request to have a certificate issued. Furthermore, first-time users will be unable to register or receive approval from the university to use the service.
・Even if you go to a convenience store to pay to issue your certificate during the maintenance period, the system will not be able to provide you with all of the necessary printing credentials. We recommend that you complete any payments prior to the maintenance period.
・If you have already paid to issue your certificate ahead of the scheduled maintenance period, you will be able to print the certificate at a convenience store during this time (as long as it is within seven days of requesting the certificate).

*Caution* Paying at FamilyMart or Lawson
・While you will be able to use the "Smart Pit Number" to pay for your certificate, you will have to wait until after the website comes back online in order to receive your "User ID Number" which is necessary to print the certificate. We recommend that you complete any payments prior to the maintenance period.

*Caution* Paying at Seven-Eleven
・While you will be able to use the "Payment Reference Number" or "Payment Slip" to pay for your certificate, the "Printing Reservation Number" which is necessary to print the certificate might be delayed for up to a full day. We recommend that you complete any payments prior to the maintenance period.

*We will perform periodic maintenance checks towards the end of the Spring and Fall Semesters (late September/Late March-Early April). Details will be made available as soon as the maintenance schedule is finalized.

This service allows you to apply for convenience store printing and online delivery of electronic certificates.

Printing at a convenience store

You can print certificates at nationwide stores of FamilyMart, Lawson, Seven-Eleven (listed in alphabetical order) installed with multi-functional photocopying machines.
(This service cannot be used outside of Japan.)

Online delivery of electronic certificates


You can send a download link of an electronic certificate (PDF data of certificate) directly to an employer, overseas educational institution, etc.

If there is some reason why the digital certificate cannot be sent directly to the recipient (e.g., if the file must be uploaded as a PDF to an external system to submit it), please enter in your own email address instead into the portion of the application which asks for the recipient's email address. This will allow you (the applicant) to download the digital certificate. However, when submitting this certificate, you must keep it in its original PDF formatting. Do not combine it with other PDF files or submit a printed version of the digital certificate.

Eligibility

This system is available to those who graduated, completed, or withdrew (after completing the required coursework) from a Keio University undergraduate faculty, graduate school, or professional program as a full-time degree student since March 1991.

*For those who graduated from the School/Graduate School of Medicine, the system is only available to those who graduated, completed, or withdrew (after completing the required coursework) since March 2011.
*For those who graduated from the Faculty/Graduate School of Pharmacy, the system is only available to those who graduated, completed, or withdrew (after completing the required coursework) since March 2009.
*For those who were admitted to the Graduate School of Business Administration (KBS), the only ones eligible to use the system are those who were admitted after April 2000 and completed, or withdrew (after completing the required coursework) from the academic program since March 2002.
*Those who withdrew from an on-campus academic program prematurely, correspondence course students, or those considered "non-degree students" (non-degree students (for credit), non-degree students (non-credit), and research students) are NOT eligible to use this system.
*Those who graduated from the Junior College of Nursing or the Kyoritsu University of Pharmacy are NOT eligible to use this system.
*Currently enrolled Keio Students are not able to apply from this page. Please use the Keio University Student Website's "Information about Certificates" page instead.

Certificates that can be issued

*(Faculty of Pharmacy) As the certificate of graduation used for the National Examination for Pharmacists differs from a regular diploma, you will not be able to apply for it online. Please contact the Faculty of Pharmacy directly.

*Certificates printed at convenience stores cannot be "securely sealed" (sealed in an envelope and delivered).

Initial Registraion (For first time users of this service)

*Initial registration takes approximately one business day in order for Keio to verify registration details and personal identification materials. After this process is completed, users will be able to submit requests to issue official certificates.

Initial registration (first-time user application)

  1. Access the "login page"
  2. Enter your email address *This will generate an automatic confirmation email to your given address
  3. Continue to the applicant information registration page and submit the given fields. (Please complete the "procedures for changing one's name" if necessary.)
  4. The university (the office from your affiliated campus) will verify your proof of identification and approve your registration. *This process takes approximately one business day.
  5. Log in for the first time (using the initial password provided to you through your registered email.)
  6. Set up your personal password (this completes the registration process.)

For the process for issuing certificates after completing initial registration (first-time user application), please refer to (1) or (2) in "How to request to have a certificates issued (previous users)".


Other notes for Initial Registration (first-time user application)

  • In general, applications will be processed by 5:00 p.m. the next business day. However, should there be any discrepancies between your application and Keio's enrollment database, it may take longer than usual to approve your registration.
  • Your registration will be processed and approved by the office on the campus where you graduated, completed your program, or were enrolled at when you withdrew from the university. In general, these offices will not be able to process requests during weekends, national holidays, summer and winter holidays, January 10 (the Anniversary of Yukichi Fukuzawa's Birthday), and April 23 (Keio Foundation Day).
    Service Hours and Contact Information for each Campus
  • Please enter your current legal name under "applicant information."
  • For the "Academic Program," select whichever is relevant to the certificate you wish to receive. For instance, if you need an undergraduate degree certificate, select "Undergraduate Faculty (Bachelor's Degree)" from the available options. If you need certificates for multiple academic programs such as a diploma for an undergraduate and graduate degree, first enter your enrollment details for only one of your programs. After you log in to your account, you will then be able to select "Add Another Student ID Number" from the system menu.
  • Make sure that your inbox is set up so that you can receive emails from "no-reply-crt@info2.keio.ac.jp"
  • As a general practice, certificates will display your name as it was when enrolled in your academic program. (If you have completed the procedures for changing your name in the system, the certificates will display your newly registered name.) If you have changed your name since leaving Keio University (graduated, completed, or withdrew from your program), and you wish for your issued certificates to display your current name, please complete the process for changing your name through the applicant information registration page during your initial account setup.
    Procedures for changing one's name or surname, or reverting to one's previous name
  • Depending on when you were enrolled at the university, your name (written in alphabetic characters) may not be registered in the enrollment database. For such individuals, certificates may not immediately be available to be printed using alphabetic characters the day your registration to use the online system is approved. In such cases, please log in after 7:00 a.m. the next day to complete your certificate issuance request.

  1. Access the"login page"
  2. Enter your registered email address and personal password.
  3. Select which certificate you wish to print.
  4. Select which convenience store you wish to use to print the certificate (Seven-Eleven, FamilyMart, Lawson)
  5. Choose a payment method
  6. Complete your payment
    Once your payment has been processed, you will receive an email with the information needed to print the certificate at your chosen convenience store.
    (For Seven-Eleven, you will receive a "Printing Reservation Number. For FamilyMart and Lawson, you will receive a "User ID Number.")
  7. Enter "Printing reservation number" or "User number" at the multi-function copy machine at your chosen convenience store and issue the certificate.

Convenience stores that can be used

FamilyMart, Lawson, and Seven-Eleven stores (listed in alphabetical order) in Japan that have multi-functional photocopying machines.
(This service cannot be used outside of Japan.)

Printing Time Limit

Seven days after submitting your request.
*Requests will expire and no longer be available to print after midnight on the 7th day elapsed since your request was submitted. Please be aware that fees will not be reimbursed.
*If making the payment at a convenience store (cash payments), please pay at the store within the first 7 days of submitting your request.

(2) Online Delivery of Electronic Certificates (PDFs)

This function is used to send a download link of an electronic certificate (PDF data of certificate) directly to an employer, overseas educational institution, etc. PDFs are delivered time-stamped and digitally signed to guarantee their authenticity.
All users are requested to confirm the following precautions before submitting an application.

  1. Log in to the Certificate Issuance Service
  2. Enter your registered email address and personal password.
  3. Select "Send online"
  4. Select the certificate for which you will apply
  5. Select payment method
  6. Register submission information
  7. Complete payment of issuance fee
  8. Application complete
    Applicant: The applicant will be notified of the application details by email to their registered email address.
    Certificate recipient: An email will be delivered with the link to download the electronic certificate (PDF).

Confirmation of delivery status and resending

An email notification will be sent to the applicant when the company/organization to which the certificate was delivered has checked the certificate for the first time. Delivery status can be confirmed from the Certificate Issuance Service. For instructions on the procedure, please refer below.

  1. Log in to the Certificate Issuance Service
  2. Select "Application list"
  3. Select a certificate that has been delivered online to view the details

*Delivery status will be displayed as follows.
・If the recipient has checked the certificate: Confirmed
・If the recipient has not checked the certificate: Unconfirmed


Resending an electronic certificate (PDF)
It is only possible to resend a certificate when the certificate in question has not been checked by the recipient.

  1. Log in to the Certificate Issuance Service
  2. Select "Application list"
  3. Select the certificate you wish to resend and view the details
  4. Click the "Send again" button at the bottom of the screen
  5. Enter the email address for resending and click the "Proceed" button
    *Fields other than the email address for resending (such as the name of the recipient) cannot be changed.
  6. Click the "Apply" button at the bottom of the screen

Notes on applying for electronic certificates

  • Before utilizing this function, please send the URL for this page to the person to whom the certificate is to be sent, and obtain their approval of the details outlined in "Online delivery of electronic certificates (PDF)." (If you are sending to a Japanese educational institution, etc., please direct them here (Japanese page).)
  • The name of the company/organization to which certificates are to be sent, as well as the corresponding email address, must be entered at the time of application. The destination company/organization name is printed on the certificate. Certificates without this information are invalid. Only one recipient may be entered for each time you apply. If you wish to send certificates to more than one recipient, please repeat the process for each recipient.
  • In the case that you are submitting an application to an overseas educational institution or similar, and are asked to enter your ID (examination number) or other information, please enter this into the "Recipient registration" screen, in addition to the applicant's name. *Ex.: Applicant name: KEIO, TARO (ID: ABC123456)
  • If there is some reason why the digital certificate cannot be sent directly to the recipient (e.g., if the file must be uploaded as a PDF to an external system to submit it), please enter in your own email address instead into the portion of the application which asks for the recipient's email address. This will allow you (the applicant) to download the digital certificate. However, when submitting this certificate, you must keep it in its original PDF formatting. Do not combine it with other PDF files or submit a printed version of the digital certificate.
  • The download link for the electronic certificates is valid for 3 months from the date of application.
  • If you forge or modify a certificate issued by the University, you may be criminally liable for Counterfeiting of Private Documents with Seals, Alteration of Private Documents with Seals, or Unauthorized Creation of Private Electronic or Magnetic Records.

*You will not receive a receipt (ryoshusho) after paying for this service. If you need a receipt (ryoshusho), please make your request to issue a certificate directly at the reception desk on campus. If you are paying in cash at a convenience store, you will receive a regular "receipt of payment" or "itemized receipt of purchased items."

Precautions for using this service

  • If you have submitted a request for the wrong number or type of certificates, we cannot offer refunds for any reason once the issuance fees have been paid.
  • Certificates printed at convenience stores cannot be "securely sealed" (sealed in an envelope and delivered). If you need your certificate to be securely sealed, please use one of Keio's other methods to issue a certificate. Please note that we cannot generate refunds once you have paid the issuance fee for any reason, including if you were unable to have your certificate securely sealed
  • The certificates printed using this service will carry a digital watermark with POPITA to prevent forgery. This means that you will not be able to make copies of the certificates.
    *POPITA is a registered trademark of NTT Advanced Technology Corporation.
  • Certificates issued using digital watermarks from POPITA are not accepted by the Ministry of Foreign Affairs (ministry and diplomatic missions overseas). If you need to submit certificates to the Ministry of Foreign Affairs, please use one of the Keio's other methods.
  • Multi-functional photocopy machines

  • How to pay using cash at convenience stores
    Seven-Eleven Bring the "Payment Reference Number" or "Payment Slip" that you received after submitting your request to the register at your chosen convenience store.
    When using the "Payment Reference Number," you can either print it out or write it down ahead of time. When using a "Payment Slip," either print it out or use a smartphone to scan at the convenience store.
    *If you wrote down your "Payment Reference Number," tell the staff at the convenience store that you are "making a payment for an online purchase."
    You can complete the transaction as follows:

    These locations use "SmartPit," a convenience store cash payment system. You can use the "SmartPit number" received when you submitted your online request in order to generate an "application ticket" through your local convenience store's multimedia terminal. You then pay at the cash register. You can complete the transaction as follows

How to Switch Language to English on Certificate Issuance Service

After accessing the Certificate Issuance Service, you can change the language to English from the "LANG" pull-down menu in the upper right corner on the screen.

When you first login to the Certificate Issuance Service

You can switch the language from the pull-down menu in the upper right corner of the "Mail address setting(メールアドレス設定)" Screen displayed after logging in to keio.jp.

<Extended delays and interruptions in international shipping systems>
Unforeseen circumstances may cause significant delays, cancellations, and suspensions in international shipping systems.
Please note that if EMS has been suspended for the country you have selected, we will be unable to send your documents to the designated address.
To check whether EMS is currently available in your region, please check the Japan Post website . If EMS is not available for the country you wish to ship to, first contact the office at the campus where you graduated, completed your academic program, or were enrolled at when you withdrew from university.

*Please note that we cannot generate refunds once you have paid the issuance fee for any reason, including if EMS has been suspended for your area.

  • You cannot request to issue a Teacher Training certificate online. Follow the steps listed on the "Ways to request to have a certificate issued" section of the Center for Teacher Education and Research website. (Website is only available in Japanese.)



Service Guide and Precautions for using this Service

  1. Requests are processed according to campus or academic affiliation. If you need certificates from multiple campuses, please request them individually from the campuses in question.
  2. In addition to the issuance fee and shipping fee, each time you submit a request a processing fee of 450 yen will be added to your order.
  3. The maximum number of certificates you can receive per request may not exceed 10 sheets of paper.
  4. We also require that you upload an image file containing proof of identification. File format JPG or PDF; File size 300 KB or smaller.
  5. If your desired certificate is not listed in the request form, enter its name and related details in the "Other" field.
    Examples: Curator Certificate, Librarian Certificate, Certificate of Credit Acquisition at the Open University of Japan, request forms (LSAC Transcript Request Form, NY Bar Form Law School Certificate, etc.)
    For the Faculty of Science and Technology or Graduate School of Science and Technology, please contact their office before filling out your request.

  6. While transcript request forms and prescribed forms for the place you plan to submit the certificates can be uploaded as PDFs, in cases where the original is required, please send it separately by post. In such cases, please inform us that you are sending the original documents by leaving a comment in the "Notes" field.
  7. Only original certificates can be issued. It is not possible for us to send PDFs or Fax copies of certificates.
    Please let us know in advance if you wish to ship certificates to a country or region where EMS postal services have been suspended.
    Similarly, if you need to send certificates to organizations outside of Japan through a method other than mailing the documents, please contact us beforehand.
  8. Certificates can only be sent directly to the applicant or to overseas graduate schools and designated international institutions. It is possible to designate two postal destinations per request, but only one destination for domestic mail.
  9. Please notify us in the "Notes" field if you wish to be informed when an EMS package has been dispatched and need the tracking number. We will contact you by email. (However, this does not apply for the Faculty of Policy Management, the Faculty of Environment and Information Studies, and the Graduate School of Media and Governance)
  10. It is not possible to cancel or amend postage fees (or the destination) or change the number of certificates issued after the payment has been completed. We are unable to generate refunds for any reason. If you need additional certificates, please make a separate request for the remaining amount. (This will incur a separate shipping and processing fee.)

How to submit a request

Some certificates can be requested and issued from any Keio Campus regardless of whether you graduated (or completed your program or withdrew from university) from that campus.

5. Requesting certificates by mail (certificates received by post)

Please send the "request form," "proof of identification," "certificate issuance fee" (in the form of a postal money order or similar payment form), and "return postage (with the stamps affixed)" to issue the certificates for shipping. Check here for details on how to do this.

Other matters related to issuing certificates

Please read the following information about matters involved in issuing certificates.

To those currently enrolled as students who graduated from an undergraduate faculty or completed a degree program at a Keio University graduate school.

If you are currently enrolled in an advanced degree program at Keio University after previously graduating from or completing an undergraduate or master's program at Keio, you can request to have your certificates from your previous degrees (undergraduate/master's) issued through the regular processes for currently enrolled students (such as at the certificate issuing machines, or at convenience stores.) However, please note that there may be exceptions to this based on which undergraduate or master's program you completed and which year you graduated. Please refer to the page below for details.

What documents are needed for proof of identification

In order to confirm your information, you must provide one of the following documents as proof of identification. If none of these are available to you, please let us know before submitting your request.


  • Driver's license (Japanese)
  • Passport (the page with your photo ID)
  • Health insurance card (make sure to obscure the code and number of the insured person, etc.)
  • Residence card (both sides)


*Those who are currently living outside of Japan must use their passport as identification.
*We cannot accept Certificates of Residence, employee ID cards, or student ID cards from other universities.

Procedures for changing one's name of surname, or reverting to one's previous name

The process for changing one's name or surname or reverting to one's previous name will differ depending on which way you make your request to issue a certificate. Please check the following information before proceeding.

Important notes:

This process is different from the one conducted by the Office of Alumni Affairs. Even if you have already changed your name at the Office of Alumni Affairs, the certificates issued by the Office of Student Services will not reflect this change. (This is because changing your name on official certificates requires documentation such as a copy of your family register.)
After you complete the paperwork for changing your name at the Office of Student Services, we will report it to the Office of Alumni Affairs afterwards. Please contact us if there is no need to modify the information registered with the Office of Alumni Affairs.


1. Online requests (and printing at a convenience store)

For first-time users:

When you are registering to use the system, please upload the necessary documentation for changing your name on the "applicant information registration" screen.

For those who have already registered:

Please use the "Name Change Application Form" listed below in order to complete the process. The university will contact you by email once your name change has been finalized.

Necessary documentation for changing your name (any of the following)

  • Certification of personal information issued within the last three months (copy of family register)
  • Certificate of residence listing both your current and previous names issued within the last three months
  • Driver's license listing both your current and previous names


*Time at which name changes will be reflected on official certificates
For those who are using the system for the first time, the name change will be reflected once they receive their confirmation email from the university that their registration form (or re-registration form) has been accepted. For those who have already created accounts, the name change will be reflected once they receive an email stating their paperwork for changing their name has been processed. However, please note that when it comes to actually printing the certificates, the name change will not take effect until the morning after you have received the confirmation email. As such, we ask that you file your request to issue a certificate after 7:00 a.m. the day after you receive the email .


2. Online requests (certificates received by post)

Upload the necessary documentation needed to change your name from the certificate request system (any of the following.)

  • Certification of personal information issued within the last three months (copy of family register)
  • Certificate of residence listing both your current and previous names issued within the last three months
  • Driver's license listing both your current and previous names

3. Requesting certificates in person or by post

Please submit the following documents. After the office receives these documents and completes the process for officially changing your name, certificates will be issued using your current legal name.

  • Proof of identification that uses your current name (after name change)
  • Any of the following will be acceptable.
    -Certification of personal information issued within the last three months (copy of family register)
    -Certificate of residence listing both your current and previous names issued within the last three months
    -Driver's license with maiden name

Letter of attorney (If you are applying by proxy)

If someone is completing this application on your behalf, they will need to submit the following documents.

  • A letter of attorney from the applicant granting permission to complete these procedures
  • A copy of the applicant's proof of identification
  • The proxy's proof of identification


If you are unable to download the "example of a letter of attorney" above, you may create your own formatted document provided that it is clear the original applicant has given their consent and the document contains the following information.

  1. The date that the letter of attorney was written.
  2. The full name, signature (or seal), date of birth, address, contact information, and email of the applicant.
    (If the applicant is currently living outside of Japan, make sure that the signature on the letter of attorney matches that used on their submitted passport.)
  3. The full name, date of birth, address, contact information, and email of the proxy

Have you received your diploma yet?

If you have yet to receive your diploma (Certificate of Graduation/Completion), you may either pick it up directly at the Student Services desk at your affiliated campus or have it mailed to an address within Japan. We ask that you follow up on this matter as quickly as possible.

Digital watermarking (POPITA)

The various certificates that are issued at convenience stores are printed using digital watermark (POPITA technology) to prevent forgeries. Persons who have received certificates issued at convenience stores or through the online delivery of electronic certificates(PDF) can use the digital watermark (POPITA technology) to confirm the authenticity of certificates. For details, See p. 6-7 of this manual.

Online delivery of electronic certificates (PDF)

The online delivery function for electronic certificates is a service which can be used to send a download link to an electronic certificate in PDF form directly to an employer, etc. PDF certificate data is time-stamped and digitally signed to prevent tampering. If the PDF has been tampered-with after being issued, an error message will be displayed when it is opened.

Process for online delivery of electronic certificates

  1. Student confirms that a certificate is eligible to be sent online as an electronic certificate.
    If the certificate is eligible for such, the student is requested to fill in the below information.

    ・Company/organization name
    ・Supervising department
    ・Person in charge
    ・Recipient email address
  2. The student completes an application using the Certificate Issuance Service, and an email containing the link to download the electronic certificate is forwarded to the email address provided in 1. The download link is valid for 3 months from the date of application.
  3. Please download the electronic certificate from the download link, and store it after confirming that the certificate has not been tampered with. Please refer to the manual below for details of how to download, and confirming signatures on, electronic certificates delivered to you.
