Information about Certificates

**Please refer to the "Certificates for Alumni" if a Keio Alumni.**


Since November 11, 2020, it has been possible to obtain certificates at convenience stores nationwide (FamilyMart, Lawson, Seven-Eleven [listed in alphabetical order]). For details on how to use this service, etc., check here.
*Student Travel Fare Discount Certificates (Gakuwari) cannot be issued at convenience stores. Please use the certificate issuing machines.

*Note that for the AY2020, certificate issuance fees and postage will not be charged.
*Printing fees (60 yen per sheet) when using the certificate issuing service at convenience stores is to be borne by the applicant.

Notes on Issuance of certificates

  • If certificates need to be securely sealed (issued in a sealed envelope), do not use the certificate issuing machines or a convenience store and inform the Academic Affairs Section on the campus to which you are affiliated. Certificates that have already been issued cannot be securely sealed later.
  • Please be aware that certificate issuance fees, etc., for which payment has already been completed cannot be refunded.
  • No certificates can be issued if tuition has not been paid. Additionally, it may take a few days before certificates can be issued after any outstanding payments have been settled.
  • No certificates can be issued if the seal on the back of your student ID card has not been updated to the latest version.
  • No certificate issuance fees will be charged for the AY2020.
  • If certificates are issued at a convenience store, printing fees of 60 yen per sheet will be incurred in addition to the certificate issuance fee.
  • The Ministry of Foreign Affairs (ministry and diplomatic missions overseas) does not accept certificates issued at convenience stores. If you will submit certificates to the Ministry of Foreign Affairs, please use the certificate issuing machines on university campuses.
  • Student Travel Fare Discount Certificates (Gakuwari) cannot be issued at convenience stores. Please use the certificate issuing machines.

Issuance at Certificate Issuing Machines

  • Certificates can be issued from any Certificate Issuing Machine, regardless of affiliated campus.
    *As a measure against COVID-19, the entry of students affiliated to other campuses is restricted on some campuses. For details, please check the "Use of campus facilities".
  • To operate the Certificate Issuing Machines, students must have their Student ID card and 4-digit "Student ID Card PIN." You can check the "Student ID Card PIN" from keio.jp portal. From the top menu, select "Various changes" (or the top right menu button on a smartphone), and then select "The password used for the Certificate Issuing Machines".
    Certificates cannot be issued without a valid Student ID card. In case of loss, students must apply to have their Student ID card re-issued before they can use the Certificate Issuing Machines.
  • Announcement of dates on which certificates will not be issued will be posted on the keio.jp portal.
  • Before issuing a certificate, Please check the "Notes on Issuance of certificates".

Operating Hours and Locations

*The below "Operating Hours" and "Dates of service suspension" are those implemented under normal circumstances and may be different in the 2020 academic year due to measures against COVID-19. For details, please check "Measures against COVID-19 (for Keio students)".


  • Certificate Issuing Machines may be temporarily out of service due to maintenance or repair work. Students should allow for ample time in making the necessary arrangements to obtain required certificates, and should also take careful note of usage periods and the number of certificates they will require.
  • Please notify the Academic Affairs Office during office hours in the case of any mechanical failure occurring while operating the Certificate Issuing Machines.

Issuance at convenience stores

Keio University introduced a new "Certificate issuance service" on November 11, 2020.
Through this service, various types of certificates can be obtained using the multi-functional photocopying machines installed in convenience stores nationwide (FamilyMart, Lawson, Seven-Eleven [listed in alphabetical order]). Apply online to issue the required certificates, and pay the issuance fees by credit card, in cash at convenience stores, or using other forms of electronic money, etc.


How to use this service

Application and Issuance

*Before issuing a certificate, Please check the "Notes on Issuance of certificates".

  1. Log In to the Certificate Issuance Service
  2. Register your email address (For First Login)
  3. Select a Printing Location (Current students can only print at a convenience store, not by mail)
  4. Select the type and number of certificates
  5. Select a convenience store to print to (Seven-Eleven, FamilyMart, Lawson)
  6. Select a Payment Method*
  7. Payment of fees*
  8. Issuing a certificate at a convenience store


*No certificate issuance fees will be charged for the 2020 academic year. As a result, "6. Select a Payment Method" screen and "7. Payment of fees" screen will not appear.


User guide (please be sure to read this guide if using this service for the first time)

Persons eligible to use

  • Full-time degree students enrolled at undergraduate faculties, graduate schools, and in professional degree programa, and short-term international students
  • Students enrolled in the Japanese Language Program (JLP)

Convenience stores that can be used

Nationwide stores of FamilyMart, Lawson, Seven-Eleven (listed in alphabetical order) installed with multi-functional photocopying machines.
*Overseas stores cannot be used.

24 hours a day, 365 days a year
(excluding periods that services are suspended at the university* and maintenance hours including various commercial services)

*The service will be temporarily unavailable in late September and from late March to early April due to maintenance (Applications are not allowed. If your application is complete, you can print it at a convenience store.). The specific schedule will be announced on the keio.jp portal.


Payment methods for certificate issuance fees, etc.

  • Credit cards: VISA、Master Card、JCB、American Express、Diners Club
  • Convenience stores (cash payments): FamilyMart, Lawson
  • Other forms of electronic money, etc.: DoCoMO Payment, Softbank Payment, LINE Pay, PayPay, Apply Pay

Time limit for printing

7 days from date of application
*Certificates will no longer be available to print from midnight of the 8th day. Please be aware that issuance fees will not be reimbursed.
*If making the payment at a convenience store (cash payments), please pay at the store within 7 days of making the application.


Precautions for use of service

  • If you have completed an application for the wrong number or type of certificates, irrespective of the reason, no refunds will be made for any certificate issuance fees, etc., for which payment has already been completed.
  • If certificates need to be securely sealed (issued in a sealed envelope), do not use a convenience store and inform the Academic Affairs Section on the campus to which you are affiliated. Certificates that have already been issued cannot be securely sealed later. Please also be aware that certificate issuance fees, etc., for which payment has already been completed cannot be refunded.
  • Certificates issued through this service are printed using POPITA technology to prevent forgery. Copies of these certificates cannot be used.
    *POPITA is a registered trademark of NTT Advanced Technology Corporation.
  • Certificates issued using POPITA are not accepted by the Ministry of Foreign Affairs (ministry and diplomatic missions overseas). If you will submit certificates to the Ministry of Foreign Affairs, please use the certificate issuing machines on university campuses.
  • Installation of multi-functional photocopying machines
    [Seven-Eleven]
    Multi-functional photocopy machines by Fuji Xerox Co., Ltd. compatible with "netprint" are installed in stores. Click here for details (Only in Japanese).

  • Cash Payment Service at Convenience Stores
    FamilyMart, Lawson
    FamilyMart and Lawson use the convenience store cash payment service "SmartPit." Payments are made at the cash register using the "application tickets" that are issued by the "multimedia terminals" in stores using the "SmartPit number" received at the time of application. Operation instructions are available below.

Applications for certificates by a representative party

Applications for certificates by a representative party will only be accepted in cases where it is problematic for the student themselves to make their way to the university (studying abroad, hospitalization, etc.). Any student wishing to arrange this is requested to enquire in advance with the reception of the Academic Affairs Section at their base campus.


Representative parties are requested to present proof of identification at the reception after submitting a photocopy of the student's ID card and letter of authorization when completing applications.


Letter of authorization

While there is no prescribed format for letters of authorization, you are requested to draft them such that they confirm the intentions of the student, and that the representative party is acting at their behest, with reference to the example below.

Identification

In principle, proof of identification refers to a Keio University student ID card, driver's license, passport, Health Insurance Card (be sure to conceal the insured person's symbol and number as well as the insurer's number), Alien Registration Certificate (both sides), or Basic Resident Registration Card (with photo).
Certificate of Residence, employee ID, or student ID card for other universities may not be presented as proof of identification.
