1. Scholarship application process (AY 2021 Spring Semester)

(1) Confirm scholarships actively recruiting

Recruitment at the Mita Campus is planned for the following scholarships in the Spring Semester of the 2021 academic year.

・ New Study Support System for Higher Education" (tuition reduction + benefit-type scholarships) offered by the Japanese government and Japan Student Services Organization (JASSO) and JASSO scholarships (loan-type).

Application guidelines for scholarships for which students enrolled at "Mita Campus" are eligible are shared regularly at the below website. Please ensure that you confirm the latest information.

Application deadlines differ by campus. Please ensure that you check the information for the campus at which you are enrolled. Applications at campuses other than your affiliated campus cannot be accepted.

(2) Submission of application documents

Prepare the required documents after confirming the application guidelines for various scholarships shared on Information of Scholarship Recruitment and → 2. Documents required for applications.
Please submit all documents in "single-sided printing"("Scholarship Information Guidebook" stated that some documents should be submitted in double-sided printing, but please submit in single-sided printing).
Application documents will be accepted by post or at the service desk. Please apply by the specified deadline, following the below procedures. The application method used will not affect the screening process.Please note that some scholarships have different deadlines for submissions by post or at the service counter.

[Sending by post]
Applications will be accepted strictly by the specified deadline. Applications cannot be accepted in cases where the documents arrive at the university after the application deadline. Please send the required documents to the following address.
Please ensure that you register the information for the documents sent from the below form after posting them (It is required to register the tracking number. Please also ensure to retain the receipt of shipping for safekeeping.)

・When sending the documents please use a method which allows tracking such as Letter Pack, Letter Pack Plus, Registered Mail, Express Mail, etc.
・ Please do not fold the documents when you post them. Please use a "square 2 envelope" unless sending by Letter Pack.
・Please write the name of the scholarship you are applying for on the front of the envelope.
・Please ensure that you report that the package has been shipped using the form after sending.

[If using service desk]
Applications will be accepted up until service desk hours on the day of the application deadline specified in the application guidelines for the various scholarships. Applications cannot be accepted if received after the deadline.
Counter opening hours 10:00-15:00 (weekdays only) *Applications will be accepted on Keio Foundation Day (April 23).

From June 7th to June 9th, scholarship application will be acceepted at Global Lounge (First floor, South School Building), the temporary service desk for Scholarships and Financial Assistance.
*During the above period, service desk for Scholarships and Financial Assistance, Office of student services (First basement floor, South School Building) will accept various procedures, inquiries, and consultations other than scholarship application. During periods other than above, scholrship applications and various procedures, inquiries, and consultations about scholarships will be accepted at the service desk for Scholarships and Financial Assistance, Office of student services (First basement floor, South School Building) as usual.

<Important>
・Applications via the service desk will only be available if the campus facilities are open for use. If facilities are not available due to the shutdown of campus facilities, it will not be possible to complete applications at the service desk.
・Availability of facilities differs by campus. Please refer to the Keio University Student Website below on the availability of facilities at Mita Campus.

(3) Confirmation of application acceptance status

If the application form you sent has been accepted by the university, the screening status will be indicated as "Screening" on the "Confirm scholarship applications and status for receipt of scholarship payments" screen on the Online Scholarship Application System. If the documents are not indicated as "Screening" despite a number of days having passed since submission and there is no contact from the university office in charge via the Online Scholarship Application System, please inquire to the Scholarships and Financial Assistance Group at the Office of Student Services, Mita Campus.
If you have applied by post, please wait five business days from arrival of the package at the university after ensuring to confirm the delivery status with the delivery company.

*About the Japan Student Services Organization (JASSO) scholarships and the government's "New Study Support System for Higher Education"
Your selection status for JASSO scholarships and the government's "New Study Support System for Higher Education" will not be shown on the Online Scholarship Application System. Please be sure to check the precautions included in "2. Documents required for applications (3)" for details.

*Resubmission or correction of incomplete or incorrect documents
If there are missing or incomplete application documents, the section in charge at the university office will indicate that resubmission or correction is required via the Online Scholarship Application System (there will be no e-mail notification of missing or incomplete documents.)Please follow the instructions and resubmit or correct any incomplete or incorrect documents. If the status for your application continues to indicate that there are incorrect or incomplete documents, you will be placed at a disadvantage during the screening. Please be sure to regularly check the Online Scholarship Application System following an application. Note that you will be contacted regarding anything that is incomplete or incorrect for your application to the Japan Student Services Organization (JASSO) at your keio.jp e-mail address.

(4) Screening

Because all scholarships have a quota for recommendations and the numbers accepted, not all applicants will be successful in their applications. Each scholarship has a selection process, and in some cases, students are required to submit an essay or undergo an interview. The timeline from recruitment to the selection of applicants is often quite tight, so if an application is incomplete or contains errors, it may not be considered for selection.

(5) Confirmation of screening results

If your documents have passed the screening and you are eligible for an interview, you will be contacted individually at your keio.jp e-mail address from the university office in charge. If you have been
selected as the candidate to be recommended after passing final screening, "Nominated" will be displayed on the Online Scholarship Application System (at this stage, the selection has not been officially decided). If you have been offically accepted as successful applicants, "Seleced" will be displayed on the Online Scholarship Application System and you can confirm the amount to be transferred. If you are not selected, "Not selected" will be displayed on the Online Scholarship Application System. The screening and decision-making process will not be disclosed.

(6) Selection and payment of scholarship stipend

The stipend will be transferred to the student recipients' bank account if screening is passed. Some scholarships will require the students to carry out the prescribed procedures after the results are announced. Please follow the instructions that are provided.

If the scholarship recipient repeats the previous year, takes a leave of absence, studies abroad, or withdraws from the university, the provision of the scholarship or loan may be terminated, or part of the stipend already received may have to be returned. If any of the above cases apply, the student must swiftly report this to the scholarship section on their campus and follow the prescribed procedures.

In addition, you can download the prescribed forms needed for applications. Please print and use these as the application documents after downloading the files.

Final Tax Return Form (kakutei shinkokusho) for 2020 (Document ④ on page 48 of the Keio University Scholarship Information Guidebook and page 31 of the Keio University Graduate School Scholarship Information Guidebook)(Updated :2021/3/30)
Although there may not be sufficient time to obtain the Final Tax Return Form (copy) for 2020 due to the submission deadline for the form being pushed back to April 15, 2021, please try to prepare the form as far as possible and apply.
If you are still not able to prepare the form before the application deadline for scholarships, please apply using the Final Tax Return Form for 2019 and submit the Final Tax Return Form for 2020 to the counter by Monday, April 19.
From Tuesday, April 20 onward, the Final Tax Return Form for 2019 will become invalid and your application will be treated as having incomplete documents until the Final Tax Return Form for 2020 is submitted, which can lead to your application being excluded from the screening process.

(2) Documents relating to sudden changes in household finances

In cases where you have changed workplace, position, or have undergone a reduction in salary or been rehired on or after January 2, 2020, and as a result your total income for the entire year is not included on the Tax Withholding Certificate, or your household finances have suddenly changed with a drastic reduction in income from what can be confirmed on the previous year's Certificate of Annual Income, you will be required to submit a Certificate of Expected Annual Income or a copy of your three most recent month's pay statements to give a picture of your latest income status. For more details, refer to p. 48 ③ of the Scholarship Information Guidebook for undergraduates or p. 31 ③ of the guidebook for graduate students.

(3) Documents required for the Japan Student Services Organization (JASSO) scholarships and the government's "New Study Support System for Higher Education"

Please prepare the submission documents for JASSO scholarships and the government's "New Study Support System for Higher Education" after referring to the "Guide for Loan-type Scholarships" and "Guide for Benefit-type Scholarships" published by JASSO.

・The government's "New Study Support System for Higher Education" is a scheme that offers "tuition reduction or exemption" and a "Japan Student Services Organization (JASSO) benefit-type scholarship" as a set. Consequently, if you wish to apply, you are in principle required to make an application for both "tuition reduction or exemption" and the "Japan Student Services Organization (JASSO) benefit-type scholarship." By submitting all documents in accordance with the "New Study Support System for Higher Education Checklist," the applications for both the "tuition reduction or exemption" and the "Japan Student Services Organization (JASSO) benefit-type scholarship" will be completed.
・If you do not submit the Scholar Net Draft Entry Form when you apply, you will not be able to proceed with the subsequent application procedures. Please ensure that everything is in order when sending the Scholar Net Draft Entry Form.

If applying for support for sudden changes in household finances for the government's "New Study Support System for Higher Education"

It is necessary to carry out the application procedures within three months of the date that the cause for the sudden change in household finances occurred. If you wish to apply, please contact the e-mail address below. When you do, please write "Japan Student Services Organization (JASSO): Intention to apply for support for sudden changes in household finances" for the e-mail subject, include your "student ID number," "full name," and the "year, month, and day of the sudden changes in your household finances" in addition to the "reason why the sudden changes in household finances occurred."

3. Frequently Asked Questions

Q.I do not have the "Keio University Scholarship Information Guidebook"/"Keio University Graduate School Scholarship Information Guidebook" to hand.

A. The Scholarship Information Guidebooks are available online. The various forms that are required are also available for download. Please obtain any forms you do not have to hand from the webpage below:

Q. Although I have already applied for other scholarships, I would like to amend the contents of the Application Form and Applicant Information Sheet that I submitted at that time.

A. If you would like to revise the contents of an Application Form and Applicant Information Sheet you have already submitted, you will need to print out the finalized versions of these again, and after amending/adding information to the relevant parts in red, send them along with the other application documents.
Additionally, if there has been a change in the financial situation of your household since the time of your first application, you may additionally send required documents based on the latest financial situation of your household.

Q. It takes time to have various certification documents issued due to the impact of COVID-19 (coronavirus disease), and I am unable to prepare all of the designated documents by the deadline.

A. If there are any documents you have been unable to prepare by the deadline, firstly, please submit the documents you have prepared up to then by the deadline. For the missing or incomplete documents, attach an explanation letter (no prescribed format) detailing their contents and the expected dates of submission, and submit them as soon as they are ready. The screening process may be affected or the money transfer delayed depending on the content and submission status of the missing or incomplete documents.

Q. Where can I check the "Announcement of successful applicants"?

A. The announcement can be checked via the Scholarship Application System. You will also be contacted separately regarding JASSO scholarships and the government's "New Study Support System for Higher Education."
